Massage cancellation policy: a template you can copy

The short answer

A massage cancellation policy answers six questions: how late a client can cancel for free (24 hours is the most common), what happens after that, how no-shows work, what happens when someone arrives late, how rescheduling works, and what the client gets when you cancel. Show it before payment and apply it the same way to everyone.

A massage cancellation policy has to say, in plain words, how late a client can cancel for free, what happens after that, how no-shows and late arrivals are handled, how rescheduling works and what the client gets when you cancel. Below is a template to copy and adapt, with the reasoning behind each rule.

Why does a massage business need its own policy?

Cancellation policies written for class studios assume a group: if one person misses, one spot out of twelve is empty. In massage, each booking is one client, one therapist and one room. A no-show is a whole hour lost, and a client who arrives twenty minutes late can push back every session after it.

So a massage policy needs three things that a class policy usually lacks:

  • A late arrival rule, because lateness affects the next client.
  • A rescheduling rule, because massage clients reschedule far more often than they cancel outright.
  • Different windows per service, because a 50 minute massage and a three hour package are not the same risk.

What should the policy include?

Part The question it answers
Free cancellation window How late can I cancel and lose nothing?
Late cancellation What happens if I cancel after that?
No-show What if I do not come and do not tell you?
Late arrival If I am late, is my session shorter?
Rescheduling Can I move my booking? Until when?
Deposit What did I pay up front, and when does it come back?
Cancellation by you What do I get if you cancel?
Feeling unwell What if I am sick on the day?

Cancellation policy for [Business name]

Free cancellation. You can cancel or reschedule at no cost up to [24] hours before your appointment. For couples massages and sessions longer than [90] minutes, the window is [48] hours.

Late cancellation. If you cancel after that, the deposit paid at booking is not refunded. [If you paid in full, we refund the amount minus the deposit.]

No-show. If you do not come and do not let us know, the amount paid at booking is not refunded.

Late arrival. Your session ends at the booked time, out of respect for the next client, and the price stays the same. Arriving more than [20] minutes late may be treated as a no-show.

Rescheduling. Rescheduling within the window is free and your deposit moves to the new time. Rescheduling after it counts as a late cancellation.

If we cancel. If we have to cancel, we refund everything you paid or rebook you at a time you choose, and we let you know as early as we can.

If you feel unwell. If you have a fever, a cold or feel unwell, let us know and reschedule. If you are unsure whether massage is right for you, speak to a health care provider first. Exceptions for illness are decided by our team and recorded.

Which notice period should you choose?

The right window is the shortest one that still gives you time to fill the slot.

  • 12 hours: works where there is plenty of last minute demand, such as busy downtown locations.
  • 24 hours: the most common choice for individual massages.
  • 48 hours: long sessions, couples bookings, spa days and anything that needs special room preparation.

Think about early morning slots. With a 24 hour window, a 9 a.m. Monday booking must be cancelled by 9 a.m. Sunday, when many studios are closed. Make it clear that clients can cancel online at any hour without waiting for someone to answer a message.

How should you handle late arrivals?

Late arrivals are the most common complaint from therapists. The rule that works best is simple: the session ends at its original time. That protects the next client and the break the room needs between sessions.

Two exceptions:

  • If the delay is yours, the client gets the full time.
  • Say it kindly. At the desk, “Let’s make the most of the 40 minutes we have” lands better than quoting the policy.

Is a cancellation policy enforceable?

Consumer protection law varies by province and state, and this is not legal advice. In general, a policy that is written down, shown before payment, accepted by the client and proportionate to the session is the safest position. Keeping a deposit for a late cancellation is proportionate; charging more than the price of the session is hard to defend.

On the payments side, Stripe recommends showing the full refund and cancellation policy and having customers agree to it before purchase (checked October 2026), not just a link at checkout. That gives you much better evidence if a card payment is disputed later.

Where should the policy appear?

  • On each service page, in one line: “Free cancellation up to 24 hours before.”
  • At checkout, with the terms accepted before the first booking.
  • In the confirmation e-mail, with the exact deadline.
  • On the cancel screen, showing whether the deposit comes back.
  • At the front desk, in a short printed version.

The one line summary does most of the work. Few people read a full policy, but almost everyone reads the deadline next to the button.

How elastudio applies your policy

In elastudio for massage studios and spas, you set one free cancellation window for your sessions, and each service can ask for a deposit at booking. Clients can cancel from their own account at any hour: within the window the deposit is refunded automatically; after it, or on a no-show, you keep it. Clients accept your terms before their first booking, and each acceptance is recorded. Fees charged later to a saved card for no-shows are coming soon. To choose the deposit amount, see massage booking deposits.

Write it once, apply it every time

Copy the template, set your numbers and check that your booking settings match the text. A short, visible policy applied the same way for everyone prevents arguments at the desk and protects your therapists’ time. See also pricing.

Questions people ask

What is a normal cancellation window for a massage?

Many studios and spas use 24 hours. Long sessions, couples massages and spa day packages often use 48 hours because they are harder to rebook at short notice.

If a client arrives late, does the session still end on time?

Usually yes. The session ends at the booked time so the next client is not delayed, and the price stays the same. Put this in writing to avoid arguments at the desk.

Can I keep the payment if a client does not show up?

When the rule was clearly shown before payment and the amount kept is proportionate, that is common practice. Rules vary by province and state, so have a local lawyer review your wording.

Does rescheduling count as cancelling?

That is your choice. The simplest rule treats rescheduling within the notice window as free and rescheduling after it as a late cancellation.
