Add teacher profiles
Open Teachers and select New teacher. A profile holds the name on the schedule, a photo, a bio in each language, Instagram and training hours, and can be linked to the teacher's staff login. A teacher does not need a login.
Create a profile
- Open Settings (the cog at the bottom of the menu; on a phone, under More) and choose Teachers.
- Select New teacher.
- Fill in First name, Last name and Name on the schedule (what members see).
- Under Photo, select Add a photo and choose an image.
- Add Instagram, Training hours and a Bio in each of your languages.
- If the teacher has a staff login, choose it under Staff login.
- Keep Teaching now on.
- Select Save.
Teacher profiles are included on every plan. The owner and admins manage them.
The photo
Photos can be PNG, JPEG or WebP, up to 5 MB. A square photo looks best. Members see it next to the teacher’s name on the class page and the teachers page. Without a photo, members see the teacher’s initials. To replace or remove it, open the teacher and select Change photo or Remove photo, then Save.
Profiles and logins
A profile and a staff login are two separate things:
- A profile is what members see. Guest teachers can have a profile and no login: leave Staff login on No login (guest teacher).
- A login is what lets someone into the admin. You create it with Invite on the Staff page.
Linking the two lets a teacher see the classes they teach, check people in, approve their own private sessions, edit their availability and connect Google Calendar. If a teacher signs in and sees “No teacher profile”, their login is not linked yet.
To link them, invite the person under Staff first and wait until they accept. Then open their profile on Teachers and pick their name under Staff login. Linking does not change their role. The list then shows Has a login for that teacher.
- “That person is not staff at this studio” means the invite was not accepted yet, or they were removed from staff.
- “Another teacher profile already uses this login” means each login can belong to only one profile.
For many teachers at once, import them from a spreadsheet under Import with an e-mail column: elastudio links each profile to the login with that e-mail and gives it the Teacher role, without sending any message. Spreadsheet import is on every plan, including Free.
Personal details and status
When the owner or an admin opens a teacher, the editor has a Personal details panel. It is never shown to members or on the public teacher pages.
- Registered, Status and Last class taught, read only. Active means the teacher is on (Teaching now) and taught or has a class within 90 days before or after today; cancelled classes do not count.
- Optional Gender, Address, City, State or province and Postal code, saved with Save personal details. Postal codes take any format, up to 20 characters. A gender in the teacher’s own words needs their written consent, which you confirm with a tick.
A teacher linked to a staff login shares that login’s details, so there is one place per person; they can also change them in My profile. Only a teacher without a login keeps the details on the teacher profile itself.
Private sessions
To offer a teacher for private sessions, open Availability and session types from their profile (or the Studio availability page in Settings), tick the session types they teach and add their weekly windows.
Stop showing a teacher
Turn off Teaching now to keep their history but hide them from new classes. Archiving removes them from the list; classes they taught keep their name.
