How to run your studio on elastudio, from your first class to your monthly reports.
Schedule and classes
Class types, repeating classes, rooms, changes and cancellations.
- Create class typesA class type holds the name, description and defaults of a kind of class, in each of your languages. Create one before you put that class on the schedule.
- Add a class or a weekly seriesOpen Schedule and select New class. Leave Repeats every week off for a one-off class, or turn it on, pick the days and an end, and elastudio fills in the weeks ahead.
- Set how many spots a class hasEach class has its own Spots. A new class takes the usual number from its class type or its room, and you can change it. When the spots are taken, members see Full (or join the waitlist), and staff can still add someone above the limit.
- Edit one class, the following ones or the whole seriesOpen the class and select Edit class. Under Change which classes, pick Only this class, This and the following classes, or The whole series. Past classes never change.
- Set up rooms and use the room calendarAdd rooms under Locations and rooms, each with a description and a break between uses (10 minutes to start). The room calendar refuses any second booking of a room at the same time.
- Cancel a class or close the studio for some daysOpen the class and select Cancel class, or use Close the studio on the Schedule page to cancel every class in a date range at once. Credits go back, members can be e-mailed, and owners and admins can restore a cancelled class.
- Choose who can see and book a classEach class has Booking options: Who can book (any pass, only chosen passes, free, or staff only), On the schedule (shown, drop in, or hidden) and its own booking rules. Studio-wide rules live in Settings, Booking rules.
- Check people in from the class listOpen the class and use Who is coming. Mark each person here or as a no-show, or select Mark all present. Check-in opens 2 hours before class and can be changed until 7 days after.
- Book a member into a class or add a walk-inFrom the class list, use Add member to book someone into one class or the rest of the series, even without a pass. Use Walk-in to sell, book and check in someone at the door in one go.
- Create an event or workshopOpen Events and select New event. Give it a date, a place and the number of places, then add one or more ticket types with their prices. Members buy tickets online, and you can sell them at the desk, check people in or cancel the event.
- Event ticket typesAn event sells one or more ticket types, such as Full price, Early bird or Member, each with its own price, quantity, limit per member and end of online sales. The event's Total places caps them all together.
- Set your studio's booking rulesSettings, Booking rules holds the studio's defaults: when booking opens and closes, free cancellation, the waiting list, who at the front desk can refund, what teachers see, and whether members can cancel event tickets.
