How to run your studio on elastudio, from your first class to your monthly reports.

Let members pick their spot in the room

Draw a room's numbered spots (a reformer, a mat, a bike) in Locations and rooms, then turn on Members pick a spot on the class type. Members choose a free spot on a map when they book. Pick a spot is on the Growth plan.

For reformer, spin or mat classes, members often care which machine or place they get. With pick a spot, you draw each room as a map of numbered spots, members choose a free one when they book, and you see who is on which spot.

Pick a spot is on the Growth plan. It is a module you switch on in Settings, Features (Pick a spot). Studios that existed before 27 Oct 2026 have it off until the owner turns it on. New pilates studios start with it on, but every class type stays off until you switch it on (step 2 below).

1. Draw the room

  1. Open Settings, Locations and rooms and open the room. Save a new room first.
  2. Under Spots in this room, select Edit spots.
  3. Set Rows and Columns (up to 20 by 20). The Front of the room is at the top, as members will see it.
  4. Tap an empty place to add a spot with the next free number, or select Fill every place. Tap a spot to change its Number, give it a Name (optional) such as “Reformer 3” or “Mat by the window”, or Take this spot away.
  5. Select Save spots.

Moving or renaming a spot keeps the bookings on it. If you take a spot away, people booked on it in upcoming classes move to the first free spot, and elastudio tells you how many moved. The owner, admins and front desk draw the layout. Front desk opens it from the room calendar with the Spots button.

Take a spot out of use

A broken machine? Under Out of use, select Take spots out of use, tick the Spots, choose From and Until and add a Note (only your team sees it). Select Take out of use. On those dates nobody can pick those spots, and people already on them move to the first free spot. Select Back in use to end it early. Nobody is moved back.

2. Turn it on for classes

  • For a class type: in Settings, Class types, open the type and switch on Members pick a spot. The owner and admins can do this.
  • For one class: open the class in Schedule and set Spot picking for this class to Same as the class type, On for this class or Off for this class. Front desk can change one class too.

A class only shows a map when its room has spots. Classes in a room without spots book as before.

Capacity stays the class capacity

The number of spots never limits booking. If a class has 10 seats and only 8 usable spots, all 10 can still book, and the last 2 get no spot. The class, the roster and the spot map warn you, for example “Only 8 spots can be used for 10 seats”.

What members see

  • When booking, members see the room as you drew it: free, taken and out of use spots. The first free spot is already chosen, and they can tap another free one. Show as a list lists the free spots instead.
  • Members never see who is on a taken spot.
  • They can Change spot in My bookings until the free cancellation deadline. After that, only your team can move them.
  • Joining the waitlist shows no map: a member who moves up gets the first free spot. A member who buys the class in the booking sheet also gets the first free spot held for them, and can change it in My bookings.
  • The booking confirmation e-mail names their spot, for example “Your spot: Reformer 3”.

Anyone else who gets a seat (added by staff, a walk-in, a fixed weekly spot) gets the first free spot by number.

Move people from the roster

On the class roster, each person shows their spot (or No spot). Tap it to open the Spot map, which shows names. Choose the person and Move to a spot, then select Move. A free spot moves them; a taken spot swaps the two people. Staff can also put someone on a spot that is out of use.

The owner, admins and front desk can move people in any class. Teachers can move people in their own classes only.

Note: The screens use your business type’s words, so “class” and “member” may read differently for you.
