Set your studio's booking rules

Where to find it

Open Settings (the cog at the bottom of the menu; on a phone, under More) and, under What you sell, choose Booking rules. The owner and admins change these rules. They are on every plan, except the waiting list, which starts on Starter.

Booking rules

These are the studio’s defaults. Each class or series can change them in its own Booking options.

• Booking opens (days before class): how far ahead members can book. The platform default is 60 days.
• Booking closes (minutes before class): 0 keeps booking open until the class starts.
• Free cancellation up to (hours before class): a member who cancels earlier gets the class back; later, the class is used. The platform default is 2 hours.
• Waiting list moves people up until (hours before class): after that, a freed spot is open to everyone. The platform default is 24 hours.
• Waiting list when a class is full: on or off (Starter and up).
• Front desk can refund: off, nobody at the front desk can refund, even with the refund permission. On, front desk members the owner gave the refund permission on the Staff page can refund.
• Teachers see members’ e-mail and phone: off, teachers see only names. On, they also see e-mail and phone on their class lists, never notes, health notes or amounts owed.

Select Save. If the waiting list cutoff is shorter than the free cancellation window, elastudio warns you: someone moved up late could then only cancel late.

Event tickets

The Events section on the same page decides whether Members can cancel their own tickets, and Up to how long before the event (an Amount in Hours or Days). It is off by default, so only staff cancel tickets. Each event can set its own rule. See Let members cancel event tickets.
