Let members book online and pay at the studio
Turn on Members can book and pay at the studio and members can book a single class online and pay when they arrive. The seat is booked at once and you record the payment on the class list.
Turn it on
- Open Settings (the cog at the bottom of the menu) and choose Payments.
- Go to the How members pay tab and find What members can pay with.
- Turn on Members can book and pay at the studio.
This is the only place the switch lives. It is off by default and applies to the whole studio: there is no setting for one class. Only the owner and admins can change it. It works with or without Stripe connected, on every plan.
What members see
Pay at the studio appears next to online payment only when a member books one class from that class’s booking sheet, on your booking pages or in the booking widget, and buys a single-class pass (one class, not a membership) that covers it. It is not offered for buying passes or memberships on their own, or for free classes.
- They select Book and pay at the studio. The sheet says “Your spot is booked right away. If you can’t come, cancel it from your bookings.”
- The seat is booked at once. Nothing is charged online and the booking never expires while it waits to be paid.
- The confirmation and the Booking confirmed e-mail say how much to pay, for example “Please pay R$ 70,00 at the studio when you arrive.” In Account, under Bookings, the class shows “Pay R$ 70,00 at the studio”.
- Each member can have up to 2 unpaid classes at a time. A third is refused with “You already have 2 classes to pay at the studio. Pay for one at the studio or choose another way to pay.”
Take the payment at check-in
- Open the class. In Who is coming, the member shows Pay at studio: R$ 70,00.
- Select Record payment under their name.
- Under How was it paid, choose Cash, Card machine or Pix marked by hand, check the Amount received and select Record payment.
The order is marked paid and the receipt is issued, as with any sale at the desk. The owner, admins and front desk can record it. Teachers see a Not paid tag on that person, so they can send them to the desk, but never the amount.
Cancellations and no-shows
- If the member cancels, staff remove them, or you cancel the class, the seat is freed and the unpaid order is cancelled. Nothing was paid, so there is nothing to refund.
- If the member does not come, the amount stays owed. The order stays Unpaid in Sales, where you can record the payment later or cancel the order. Until then it counts toward the member’s 2 unpaid classes.
Note: Reports count the money only once the payment is recorded.
