Record a payment at the desk and send receipts
Use New sale in Sales to sell a pass for cash, card machine, bank transfer or Pix, or leave it unpaid and send a payment link. Every sale gets an invoice in Stripe that the member can open from their account.
Make a sale at the desk
- Open Sales and select New sale. You can also open a member’s profile and select Sell.
- Who: search by name, e-mail or phone, or add someone new.
- What: choose the pass or membership and how many. Some passes ask when they start (Starts on).
- Promo code: optional, on the Starter plan and up.
- Payment: choose how they pay. Cash, Card machine, Bank transfer, Pix marked by hand (you saw the Pix arrive in the studio’s bank), Complimentary (free, with a reason) or Pay later.
- Review and select Sell for the total, or Create unpaid order.
The pass is ready to use as soon as the sale is paid. Owners, admins and front desk staff can sell.
Unpaid orders and payment links
With Pay later, the order stays unpaid. Open it and select Copy payment link to send it to the member, who then pays online by card or Pix. Monthly memberships billed by card (Starter plan and up) are always sold this way.
When the member pays you in person later, open the order and select Record payment. Enter the Amount received. A partial amount is allowed and the rest stays owed. You can also Add promo code or Cancel order while nobody has paid.
Classes booked to pay at the studio
A class a member booked to pay at the studio creates an Unpaid order that never expires. Record it from the class list with Record payment, or from the order in Sales. The receipt follows as below. If the booking is cancelled, so is the order, with nothing to refund.
Receipts and invoices
With Stripe connected, every sale gets a Stripe invoice in the member’s language, including cash, card machine, transfer, Pix and complimentary sales. Stripe records those as paid outside Stripe, so your accountant has one numbered list of every sale.
- In the order, select Invoice to open it.
- Members open theirs in their account, under Orders, with Receipt.
- The Payment received e-mail links the same invoice.
Without Stripe connected, elastudio issues its own numbered Receipt instead.
Orders and invoices use your studio’s prefix, set once in Payments under Order numbers. It cannot change after the first order.
Note: A Stripe invoice is not a Brazilian NFS-e. If you need to issue NFS-e, keep doing it in your usual system for now. The owner and admins can use Export CSV in Sales to give your accountant every sale.
Find orders
Sales lists every order with search, filters by status, payment method and dates, and totals for Paid, Refunded, Net and Unpaid. Online orders that expired unpaid are hidden unless you filter for them.
