How to run your studio on elastudio, from your first class to your monthly reports.

Take Pix straight to your bank

Pix QR to your bank shows members a Pix code paid directly into the studio's bank account. Nothing is confirmed automatically: someone on your team checks the bank app and marks each payment paid in Pix review.

Before you start

Pix straight to your bank is on every plan, including Free, with no Stripe fee. It is a backup for when Pix through Stripe is not available, so members never see two Pix options. Only the owner sets it up:

  1. Open Settings, then Payments, and the Pix QR tab.
  2. Choose the Key type (CNPJ, CPF, E-mail, Phone or Random key) and type the Pix key. Copy it from your bank app: a typo sends members’ money to someone else.
  3. Fill in Name in the QR (up to 25 characters, the name members see in their bank app) and City in the QR (up to 15; accents and lower case are fixed as you type).
  4. Turn on Offer Pix QR at checkout and save.

When Pix through Stripe is active

If your Stripe account already takes Pix, members pay Pix there and never see the Pix QR. The Pix QR tab then says so at the top: “Pix is already offered through Stripe, and that’s what members see. This QR is only used if Pix through Stripe stops working.” Its settings look greyed out but you can still change and save them, and the switch reads Use as backup if Pix through Stripe stops. It is the same switch: leave it on to keep the QR ready. If Pix through Stripe stops, checkout offers the Pix QR again on its own. On the How members pay tab, Pix QR to your bank reads “Backup, not shown while Pix through Stripe is active.”

Pix QR orders that were already open stay in Pix review and are confirmed as usual.

What members see

Members choose Pix QR code and get a QR code, a copy and paste code and the exact amount. They have 30 minutes to pay, with the spot held. Each payment gets 1 to 99 extra centavos so it can be told apart from other orders, and the member is asked to pay that exact amount. Pix QR works for one-time purchases; monthly memberships are billed by card.

The member’s screen says the studio confirms the payment after checking its bank, and they get an e-mail once it is confirmed.

Confirm payments

Nothing confirms a Pix QR payment automatically: elastudio does not read your bank or its e-mails. A person checks the bank app and marks it paid.

  1. Open Sales and the Pix review tab. Owners, admins and front desk can use it. The number on Sales counts the Pix waiting to be confirmed plus the ones to send back.
  2. Under Waiting for payment, find the order and check in your bank app that the exact amount, centavos included, arrived.
  3. Select Mark as paid, fill in Who paid (the name your bank shows as the sender), Paid on and At from your bank app, and confirm.

The order is paid, the booking is confirmed, the member gets the confirmation and an invoice is recorded in Stripe.

A Pix paid after the QR expired

After 30 minutes an unpaid order expires and leaves Waiting for payment. For 7 days it stays under QR expired, not paid, clearly labelled QR expired. If you see the money in your bank app later, select Mark as paid on it as usual. elastudio then follows the late rules:

  • Spot still free: the order re-opens, is paid and the member gets the confirmation.
  • Class full by now: the order is paid and the member keeps the purchase as credit for another class.
  • Nothing can be kept (a sold-out event or a private session): the order stays expired and the payment moves to Pix to send back.

After 7 days the expired charge leaves the list. To handle a Pix that arrives later than that, record a new sale with Pix marked by hand, or send the money back.

Pix to send back

Each payment under Pix to send back stays listed until it is dealt with. Send the money back from your bank app to the account it came from, then select Record as sent back, add the Bank reference (optional) and confirm. The payment leaves the list; the order stays expired. Only someone who may refund can record it; others see Someone who may refund records this.

Refunds

A paid Pix QR order can be refunded from the order like any other, but the money always goes back from your bank app: send it first, and elastudio records the refund and a credit note in Stripe.
