How to run your studio on elastudio, from your first class to your monthly reports.

Put a substitute teacher on a class

Open the class and select Substitute for this class next to the teacher's name. Pick the substitute, choose whether to e-mail the people booked, and members see a Substitute label. Substitutes start on the Starter plan.

Swap the teacher for one class

  1. Open Schedule and tap the class.
  2. Next to the teacher’s name, select Substitute for this class.
  3. Under Who teaches this class, pick the substitute.
  4. Keep E-mail the people booked on if you want booked members told. Each person gets the substitute message in their own language. If nobody is booked yet, nobody is e-mailed.
  5. Select Save teacher.

Only this class changes: a substitute covers one class. The rest of the series keeps its usual teacher, and the class keeps its usual teacher for history and reports. The owner, admins and front desk can change the teacher; teachers cannot. Substitute teachers start on the Starter plan.

What members and staff see

  • Members see a Substitute label on the class, with the new teacher’s name, on the schedule and the class page.
  • In the admin, the class details show the badge Substitute for the usual teacher and the line Usual teacher: with their name. The week grid and the list mark the class Substitute.
  • The booked members who were e-mailed get “New teacher for” the class and date. Their booking stays as it is, so nobody needs to book again.

Go back to the usual teacher

Open the class, select Substitute for this class and pick the name marked (usual teacher). The class goes back to its usual teacher and the Substitute label goes away.

For a longer absence

If a teacher is away for several weeks, open the first class they miss, select Edit class, choose This and the following classes and pick the other teacher. The editor says what the change does: “Changes the teacher for good from (date) on.” This is a change of teacher for the series, so no Substitute label is shown. When they come back, do the same on their first class back.

To change who teaches a kind of class for good, change the Usual teacher of the class type: elastudio asks whether the upcoming classes change too.

Things to know

  • Only teachers set to Teaching now can be picked. If there is nobody else, the dialog says “Add another teacher on the Teachers page first.”
  • Changing the teacher never changes the room booking or anyone’s booking.
  • If the substitute has a private session at that time, the change is refused with “The teacher has a private session at that time.” Pick someone else or move the session.
  • If the substitute has a staff login linked to their profile, the class appears in My classes, in their My schedule, marked Substitute for the usual teacher, and they can check people in. If they show their classes in Google Calendar, the class moves from the usual teacher’s calendar to theirs.

Note: Teachers cannot ask for a substitute from the app yet. They tell the studio, and the owner, an admin or front desk makes the swap.
