Staff roles and what each one can do
There are four staff roles: Owner, Admin, Front desk and Teacher. The owner can also give extra permissions: Refunds to admins and front desk, Reports to front desk.
The four roles
- Owner: one per studio. Everything, including the studio’s elastudio plan and its payment, disconnecting Stripe, transferring or deleting the studio, changing the studio’s languages, rolling back the look and giving extra permissions.
- Admin: everything except ownership, disconnecting Stripe, deleting the studio, changing the languages and changing or paying the elastudio plan (admins see the plan and its invoices). Admins can invite front desk and teachers, but only the owner makes or removes admins.
- Front desk: schedule, class lists, members and sales. They can edit and cancel classes, change a class’s teacher, close the studio for some days, check people in, add walk-ins, sell and record payments (including classes members booked to pay at the studio), block rooms and approve private sessions for the studio. They edit only their own availability, if they teach; every teacher’s availability is the owner’s and admins’ job. They can pause a member’s pass or membership, and change or end a pause. They cannot create or edit class types, change who can book a class (new classes they add always use the class type’s default) or restore a cancelled class. They see products and prices but cannot change them; in Settings they only have Passes and memberships, to read.
- Teacher: their own classes and the names of who is coming. Teachers check people in on their own classes, edit their own availability, approve their own private sessions and see reports on their own classes and sessions.
Only the owner and admins manage teacher profiles, photos and staff login links.
Roles and permissions are included on every plan. The Staff page shows the full table under What each role can do.
What teachers see about members
By default teachers see member names only, never e-mail, phone or notes. To show e-mail and phone on their class lists, the owner turns on Teachers see members’ e-mail and phone under Settings, Booking rules. Staff notes, health notes and amounts owed are never shown to teachers.
If a member added a profile photo in their account, the owner, admins and front desk see it on the member’s profile, class lists and check-in. Teachers see it only for people booked or on the waiting list in a class they teach. Staff cannot upload or change a member’s photo.
One exception: for a private session at a member’s address, the assigned teacher sees that address and the member’s phone from approval until 24 hours after the session.
Extra permissions
Only the owner gives them, on the Staff page with Edit:
- Refunds: for admins and front desk. Can refund payments, in full or in part. Front desk also needs Front desk can refund on under Settings, Booking rules; with it off, nobody at the front desk can refund.
- Reports: for front desk (admins already have all reports). Can see and export reports for the whole studio, and build them on the Growth plan and up.
