How to run your studio on elastudio, from your first class to your monthly reports.

Cancel a class or close the studio for some days

Open the class and select Cancel class, or use Close the studio on the Schedule page to cancel every class in a date range at once. Credits go back, members can be e-mailed, and owners and admins can restore a cancelled class.

Cancel a class

  1. Open Schedule and tap the class.
  2. Select Cancel class.
  3. Read what will happen. elastudio checks the bookings first, for example “4 bookings are cancelled, 4 credits go back.”
  4. Keep Tell booked members by e-mail on (the default) and edit the Message to members in each language if you like. You can also tick Send a copy to the teacher.
  5. If someone paid for this class alone, choose under People who paid for this class alone: Refund the money or Keep it as a credit for another class.
  6. Select Cancel class, or Keep class to change your mind.

The owner, admins and front desk can cancel classes. Teachers cannot. A class that already started cannot be cancelled.

Close the studio for some days

  1. On Schedule, select Close the studio (on a phone, it is in the menu next to New class).
  2. Pick the First day closed and the Last day closed.
  3. Read the summary of classes, bookings and credits. Nothing changes until you confirm.
  4. Keep E-mail the people booked on and edit the Message to members, or turn it off. Each member gets one e-mail per cancelled class, in their own language.
  5. Choose what happens to people who paid for a class alone, as above.
  6. Select Close and cancel classes.

Classes that already started are left as they are. A closure covers at most 366 days. The owner, admins and front desk can close the studio.

What happens next

  • Cancelled classes stay on the schedule, struck through.
  • Every booking is cancelled and each credit returns to the member’s pass or membership. Anyone on the waiting list is taken off it.
  • Keep it as a credit for another class gives the class back on the member’s pass and keeps that pass valid for at least 3 months.
  • A refund goes back to the original payment method. If a refund does not go through, the member keeps the credit and elastudio tells you to refund it by hand from the sale.
  • Only staff who may refund can choose Refund the money.
  • Unpaid orders of members booked to pay at the studio are cancelled, with nothing to refund.

Restore a cancelled class

The owner and admins can bring back a cancelled class before it starts.

  1. Open the cancelled class and select Restore class.
  2. Read the preview. Cancelled bookings stay cancelled: members book again if they want to come. Credits and refunds stay with the members.
  3. Select Restore class.

The class opens for booking again. Members are not told automatically. If the room or the teacher was taken in the meantime, the class cannot come back until you move or cancel what uses that time.
