Which e-mails do members get?
elastudio sends members e-mails about their sign-in, bookings, waitlist, payments and passes, in their own language and under your studio's name. Open Messages to see each one, turn optional ones on or off, and edit the wording.
How the e-mails look
Every e-mail goes out under your studio’s name, with your logo and colours, in the member’s language. Replies go to the Studio e-mail you set in Settings, About the studio. The only mention of elastudio is a small “powered by elastudio” line at the bottom. These are service e-mails about the member’s own account, so they do not need marketing consent.
The main e-mails
Account and access: Sign-in link and code, Code to book as a visitor, Password reset (a link to choose a new password, sent when the member selects Forgot password?), Password changed (sent whenever the member’s password is created, changed or reset), Welcome, the e-mail change messages (Code to confirm an e-mail change, Confirm a new e-mail address, E-mail address changed and Studio asks to update the e-mail), and e-mails when a data export is ready or an account is deleted.
The sign-in e-mail ends with a tip, without a link: “Tip: you can create a password in your account to sign in faster.” No e-mail ever contains a password.
Classes and bookings: Booking confirmed, Member cancelled a booking (with whether the class came back), Removed from a class by the studio, Class cancelled, Class changed, Substitute teacher, and the waitlist e-mails: Joined the waiting list, Got a spot from the waiting list, Skipped on the waiting list and Waiting list closed. Class reminder is off by default.
Orders, payments and plans: Order waiting for payment, Payment received (with a link to the invoice), Refund issued, Membership started, Membership renews soon (sent before each renewal when the membership has E-mail the member before each renewal on, as new memberships do), Membership payment failed, Membership cancellation scheduled, Membership ended, Pass or plan about to expire, All classes used, Pause started and Pause ended.
Events: Event ticket confirmed, Event reminder (the day before, when the event has it on), Event ticket cancelled (when the member or the studio cancels a ticket, saying whether money goes back) and Event cancelled (when you cancel an event with Tell ticket holders on).
Private sessions have their own e-mails too.
Turn e-mails on or off
- Open Settings (the cog at the bottom of the menu; on a phone, under More) and choose Messages.
- Each e-mail shows who receives it and whether it is Sent or Not sent. Switch optional ones on or off.
E-mails marked Required are always sent, for sign-in, security or the law. Some, like Removed from a class by the studio, show Staff choose each time: staff decide when they act.
Edit the wording
Select Edit on a message to change the Subject and Message in each of your languages, insert variables such as the class name, and use Send me a test. Back to the default text undoes your changes. Writing your own texts starts on the Starter plan; on Free, members get elastudio’s standard texts, and texts written before a move to Free keep sending.
Check what was sent
The Log tab, on the same page, lists the e-mails sent, with filters for dates, message and recipient, and shows each one’s status, such as Sent, Failed or Not sent (unsubscribed).
Note: elastudio does not send newsletters or marketing campaigns. For those, use your own e-mail marketing tool with members who gave consent.
