Create, move or cancel a private session
Staff can create a private session for a member with a card link, pay at the studio or complimentary. Move a session only with the member's agreement. A studio cancellation always refunds in full.
Private sessions start on the Starter plan. Below Starter no new session can be created, but sessions already booked stay, and you can still approve, move, cancel and mark them.
Create a session for a member
- Open Private sessions and select New private session, or tap free time on the room calendar.
- Pick the member, the session type, the teacher (or let elastudio assign a free one), where, the number of people and an optional Names of the others.
- Choose a Date and one of the Free times.
- Under Payment, choose:
- Card link: the member saves a card through a link you copy and send, and is charged after both approvals.
- Pay at the studio: confirmed after approvals, with an unpaid order you record later under Sales.
- Complimentary: nothing to pay. A reason is required.
- Select Create the session.
Your side counts as approved, so only the other side still has to approve. The owner, admins and front desk can create sessions for anyone; teachers can create their own.
Move a session
Agree the new time with the member first. Open the session, select Move, choose a New date and one of the Free times. The price stays the same, the room and teacher are checked again, and the member gets an e-mail with the new time. Members cannot move a session themselves: they cancel and request again.
Cancel a session
Open the session, select Cancel session and write a Reason (the member sees it). If the session was paid, the member gets a full refund to their card. A teacher cannot cancel a paid session alone: they ask the studio.
When the member cancels from their account:
- Before it is confirmed, nothing is charged.
- After it is confirmed and before the free cancellation window (24 hours before by default), they get a full refund.
- After that window, the payment is kept. The studio can still refund by hand from the order.
Attendance
After the start, mark Came or No-show under Attendance. A no-show keeps the payment.
