Your schedule, hours and Google Calendar
My schedule, in My profile, shows the classes you teach and your private sessions, lets you connect your Google Calendar and put your classes in it, and holds your own hours for private sessions.
Open My schedule
Select your picture, or your initials, at the bottom of the menu and choose My schedule (on a phone, open More, select your name, then My schedule). It has three parts: My classes, Your Google Calendar and your hours for private sessions.
My schedule shows for anyone who teaches, and for the owner and admins:
- An owner or admin who does not teach yet sees You are not a teacher here yet. Select Open Teachers, add yourself and link the teacher to your login.
- A teacher whose login is not linked to a teacher profile yet is asked to have the owner link it.
My classes
My classes shows the classes you teach, the ones you cover as a substitute included, and your private sessions, in the studio’s time zone. It never shows members’ names.
- Under Show as, choose Week (a week grid, the default) or List. On a phone the grid scrolls inside its card.
- Use the arrows for the previous and next week, and Today to come back.
- Select a class to open its roster and see who is coming. A private session opens in Private sessions.
- In the week grid, the background shows your hours for private sessions and, striped, the times you are busy in Google Calendar.
A class you cover for someone else is marked Substitute for their name. If a week is empty, the page says when your next class is, with Go to that week. Only classes and sessions in the next four months are looked for.
Teachers only ever see their own classes here. Owners and admins who teach see theirs too.
Connect your Google Calendar
Connecting Google Calendar starts on the Starter plan. A connection made before a move to a smaller plan keeps working until it is disconnected.
- In Your Google Calendar, keep Show my classes and private sessions in my Google Calendar ticked if you want them in Google (it is ticked to start).
- Select Connect Google Calendar and allow access on Google’s screen.
- Under Calendars that count as busy, keep “primary” (your main calendar) or add others, one per line, up to 10. The page explains how to find a calendar’s id in Google Calendar’s settings.
From then on, members are never offered a private session when you are busy in Google. elastudio reads only when you are busy, never event titles or details.
Each teacher connects their own calendar. The owner and admins only see whether it works, under Settings, Studio availability, Google Calendar, and can remove a connection; you can connect again at any time.
Your classes in Google Calendar
With Show my classes and private sessions in my Google Calendar on, elastudio creates one calendar of its own in your Google account, named after the studio with “(elastudio)” at the end. It only ever writes to that calendar, never to your others.
- What goes in: your classes, the ones you cover as a substitute included, and your confirmed private sessions, from yesterday to 90 days ahead. Changes, substitutions and cancellations follow on their own. Past events stay in your calendar as history.
- What an event shows: the class or session name, the room and place, the studio, how many are booked and a link to the roster in elastudio. A private session at the member’s home says “At the member’s address”, never the address.
- What it never shows: members’ names or contact details.
If you connected before this was possible, you see Google needs one more permission: select Connect again to switch on. Your busy times keep working meanwhile.
Switch off or disconnect
- Turning Show my classes and private sessions in my Google Calendar off asks you to confirm, then Switch off and delete removes the elastudio calendar from your Google account, with every class and session in it. Your other calendars stay as they are, and busy times keep blocking private sessions.
- Disconnect stops checking your busy times at once and, if your classes are in Google, also deletes the elastudio calendar.
If Google does not answer in time, the connection still ends, and the page tells you the calendar stayed in your Google account so you can delete it yourself in Google Calendar settings. If you remove elastudio’s access in your Google account, you get one e-mail asking you to connect again.
Your hours for private sessions
Below, you set when you can take private sessions: Every week windows, and Dates for time off or an extra window. To set the same hours on several days, choose them all at once in Add a window (or tap Weekdays or Every day): each day gets its own window. They work as described in the availability article. Only you change your own hours, whatever your role.
You are busy in Google Calendar, next 7 days lists the start and end of your busy times, never what they are. No private session is offered then.
The owner and admins can adjust your hours for the studio. When they do, you see The studio adjusted your hours: the hours that count now come first, read only, and your own hours below. You can still change yours; the studio sees your changes and can switch back to them. Time off you mark always counts, also while the studio’s hours apply. Extra dates count once the studio uses your hours again.
