Change or cancel your elastudio plan
The owner subscribes, moves up, moves down or cancels in Settings, Plan and usage. Moving up applies now; moving down and cancelling apply at the end of the period you paid. Cancel within 7 days of your first monthly payment, or within 30 days of a yearly payment, and you get it back in full, automatically.
Where you do it
Open Settings, Plan and usage, tab Plan. Only the studio owner can change the plan. Admins can open the page and see everything on it, but not the plan buttons; they see the line Only the studio owner can change the plan or pay. Front desk staff and teachers cannot open it.
Note: A complimentary plan has nothing to change on this page. If you need help with a plan change, write to support@elastudio.app from the owner’s address.
Subscribe for the first time
- Check the Billing country (and the Province in Canada) and select Save billing country. It sets your currency and cannot be changed after you subscribe. elastudio is not available in Quebec yet.
- Select Choose a plan.
- Pick Monthly or Yearly. Yearly costs about 25% less.
- On the plan you want, select Subscribe, or Start 14-day free trial on Starter.
- Check what you pay today and select Continue to payment.
- Enter your card on Stripe’s secure page.
Back on the page, your plan shows once Stripe confirms the payment. If you close Stripe’s page, nothing is charged.
Move up
Select Change plan, pick a bigger plan and select Upgrade. The confirmation shows what you pay today, then select Upgrade now.
The new plan applies at once. Today you pay only the difference for the rest of the current period (the confirmation shows the amount), then the new price from the next period. Moving from monthly to yearly on the same plan works the same way. If the card is refused, nothing changes.
During the Starter trial, moving up ends the trial and the first charge for the new plan is made straight away.
Move down
Select Change plan, pick a smaller plan and select Downgrade, then Schedule the change. Moving from yearly to monthly works the same way.
The change applies at the end of the period you already paid. Until then you keep everything in your current plan, and the page shows the date of the change. To stay on your plan, select Keep with your plan’s name.
What the smaller plan blocks
If your studio is at or over any limit of the smaller plan, the confirmation shows a notice before you confirm, for example On Starter, your studio cannot add more. It opens with “Everything you have now keeps working after the change. Only adding more is blocked:” and then lists each of those limits with today’s count, what the new plan allows and what that blocks. For example:
“Staff logins: 5 now, Starter allows 5.” No one new can be invited to your team, and invites not yet accepted cannot be accepted, while you have 5 or more logins.
Being exactly at the limit is listed too, because the next one you add would go over it. What each limit blocks on the new plan:
- Active members this month: in a month that reaches the limit, no new members can join until the 1st. Your team cannot add people, and new people cannot sign up or book online. Existing members keep booking, buying and renewing.
- Staff logins: no one new can be invited to your team, and invites not yet accepted cannot be accepted.
- Rooms, Locations, Passes and Memberships: no new ones can be added.
Nothing you already have is deleted, hidden or switched off. Once you are back under the limit, or move up again, you can add more. See the article on plan limits.
Features the smaller plan does not have
Features of your current plan that the smaller plan does not include are locked after the change. They stay visible in the admin, marked Available from and the plan’s name. What you already made with them keeps working: monthly memberships already sold keep renewing, private sessions already booked stand, people already on a waitlist keep their place, and texts you wrote keep sending. Only new use is blocked. Promo codes are the exception: below Starter no code works at checkout, including codes made before. See What happens when you reach a plan limit.
Cancel
Select Cancel plan (or pick Switch to Free in the plan list). The dialog shows what you lose on Free. If your studio is at or over any Free limit, it also shows On Free, your studio cannot add more, with the same list as a move down: “Everything you have now keeps working after the change. Only adding more is blocked:”, then each limit with today’s count and what it blocks, for example “Rooms: 2 now, Free allows 1.” Paid features lock the same way as on a move down. Then select Cancel plan to confirm.
- Monthly or yearly plan: it stays until the end of the period you paid, then your studio moves to Free. Nothing else is charged. Your data stays.
- During the Starter trial: the trial ends on its date and nothing is charged.
Until that date the page says Your plan ends on with the date. Changed your mind? Select Keep my plan.
Refund of your first payment
Within 7 days of your studio’s first paid charge on a monthly plan, the cancel button reads Cancel and get a refund. Confirming it:
- ends the plan at once and moves your studio to Free;
- refunds that first payment in full to the card that paid it. Stripe e-mails you the refund receipt, and it can take 5 to 10 days to show on your statement;
- marks the invoice as refunded in your invoice list.
This works once per studio, on the first real charge only. For Starter with a trial, the 7 days start on the day of the first charge after the trial. Renewals, a later subscription and complimentary plans have no such refund. After the 7 days, cancelling works as above.
Note: Cancelling during the Starter trial costs nothing, so no refund is needed.
Cancelling a yearly plan
Within 30 days of a yearly charge (the first one, the first charge after a Starter trial, or a renewal), the cancel button reads Cancel and get a refund. The dialog shows the exact amount and the last day for the refund. Confirming it:
- ends the plan at once and moves your studio to Free;
- refunds that yearly payment in full to the card that paid it. Stripe e-mails you the refund receipt, and it can take 5 to 10 days to show on your statement;
- marks the invoice as refunded in your invoice list.
After those 30 days there is no refund. The cancel dialog says so, and the plan runs to the end of the year you paid.
A plan you subscribe to after a refunded cancellation (this one or the 7-day refund) has no refund. If you changed plan during the year and paid a separate amount for it, the page cannot refund it automatically: write to support@elastudio.app from the owner’s address within the 30 days and we refund every charge for that year in full.
We remind you by e-mail at least 30 days before a yearly plan renews.
Closing your account completely
Cancelling a plan keeps your studio on Free. To close the account, write to us. You then have 30 days to take your data with you before it is deleted.
