How to run your studio on elastudio, from your first class to your monthly reports.

Waiting list for a sold-out event

When an event sells out, signed-in members can join its waiting list with how many tickets they want. When tickets free up, the first people in line are offered them by e-mail and the tickets are held for them for 12 hours. Nobody is charged automatically.

When an event takes a waiting list

A sold-out event takes a waiting list when both are true:

  • your studio’s waiting list is on: Settings, Booking rules, Waiting list when a class is full. It is the same switch as for classes;
  • your plan includes the waiting list, which starts on the Starter plan.

An event that still has tickets on sale has no waiting list: members just buy.

How members join

  1. On the sold-out event, the member sees Waiting list. They must be signed in; visitors are asked to sign in first.
  2. They choose How many tickets you want, from 1 to 10, and select Join the waiting list.
  3. They see their place, for example “You are number 2 on the waiting list, for 2.”

They can select Leave the waiting list at any time.

When tickets free up

Tickets free up when someone cancels a ticket, an unpaid order expires, or you raise the event’s places or a ticket type’s quantity. Then:

  1. The first people in line whose request fits are offered the tickets. Someone who wants more tickets than are free keeps their place, and a smaller request behind them can be offered first.
  2. Each person offered gets the Tickets opened up e-mail, with how many tickets are held and until when.
  3. The tickets are held for them for 12 hours, never past the event’s start. Nobody else can buy held tickets online; the event shows them as taken.
  4. The member opens the event, sees “Tickets opened up for you” and buys as usual.
  5. If they do not buy in time, the offer passes to the next person in line.

Nobody is charged automatically: tickets are paid, so the member always chooses to buy.

When the event starts, or is cancelled or deleted, the waiting list closes.

What staff see

Open the event in Events. Under Waiting list, the owner, admins and front desk see everyone in order, how many tickets each wants, and whose tickets are held until when.

Staff can still sell tickets at the desk with Sell tickets; desk sales are not held back by an offer.
