Fixed weekly spots
With a fixed spot, a member keeps the same class every week: a seat is held in every date and each date is paid by their pass or membership as usual. Members start one with Book every week on the class; staff start one from the class list.
A fixed spot is a member’s standing booking of a repeating class, like “Tuesdays and Thursdays at 07:00”. elastudio holds their seat in every date of the class, now and as the schedule adds new dates, and pays each date with their pass or membership. The screens use your business type’s words (a massage studio sees “regular time”, for example).
Switch it on
Fixed spots start on the Starter plan. The owner or an admin turns them on in Settings, Features, with Fixed spots. Studios that existed before 27 Oct 2026 have it switched off until they turn it on. New pilates studios start with it on.
How a member starts one
- The member signs in and opens a class that repeats every week.
- Under Every week, they select Book every week.
- Under Until when, they choose No end date, Until a date (and pick the Last date), or While my membership lasts (shown when they have a membership that can pay for the class).
- They select Start my fixed spot.
A message says what happened, for example “Fixed spot started: 3 booked, 1 waiting for a pass, 0 on the waitlist.” The member gets one Fixed spot started e-mail, not one per class. A member can have one fixed spot per repeating class.
How staff start one
- Open the class and its class list, then select Add member.
- Pick the member.
- Under Which classes, choose Every week from this class (fixed spot).
- Select Add to class.
The owner, admins and front desk can start and stop fixed spots. Teachers cannot.
How each date is paid
- Each date uses the member’s pass or membership by the usual rules, like any booking.
- The first 12 dates are booked at once. Later dates are booked as the schedule adds them.
- A full date puts the member on its waiting list. If the class has no waiting list, that date is skipped.
- A date the member cancels stays cancelled. The other dates go on.
When nothing pays for a date
The seat is still held, unpaid, until the release time: 24 hours before the class by default. The owner or an admin changes it in Settings, Booking rules, under Fixed spots and make-up classes, with Release an unpaid seat (hours before the class).
- The member gets one Fixed spot needs a pass e-mail, up to three days before the release time. Their Bookings tab shows “Seat kept until” that time.
- Buying a pass or renewing a membership pays the held dates at once, soonest first.
- A membership that renews on its own keeps the seat until its renewal (never past the class start) if, once renewed, it would pay for that class.
- If nothing pays by the release time, the seat goes back to others, the waiting list moves up, and the member gets the Fixed spot seat released e-mail.
Stopping a fixed spot
- The member: in Account, tab Bookings, under My fixed spots, they select Stop. The classes ahead are cancelled with the credits back, but classes already inside the free cancellation window stay booked. They can still cancel one of those alone.
- The studio: on the member’s profile, under Fixed spots and make-ups, select Stop. Every class ahead is cancelled with the credits back. Tell the member by e-mail is on by default.
The member gets one Fixed spot stopped e-mail, with no e-mail per class. A fixed spot also stops on its own: quietly the night after its end date, when the membership it was tied to ends (held dates go, paid ones stay), or when the class has no more dates.
Where staff see them
- On the class list, the member’s dates carry a Fixed spot badge.
- On the member’s profile, Fixed spots and make-ups lists each spot with its days and time, its end, how many dates are booked, waiting for a pass or on the waitlist, the next dates and Stop.
Members see their spots under My fixed spots in their Bookings tab, and each date shows the Fixed spot badge.
