Health notes and consent
A health note tells staff what they need to teach a member safely. It needs the member's consent: the member ticks a consent box when they add it, or staff confirm the member gave written consent before saving or importing a note.
What a health note is for
A health note holds what a teacher needs to adapt the practice safely, such as an injury, a recent surgery or a pregnancy. Health information is sensitive data under privacy laws such as the LGPD in Brazil, so it has stricter rules than the rest of the profile. Members never have to give health information to book.
When the member writes it
In Account, under Profile, the member finds Health notes. When they type a new note or change one, the box I agree (your studio’s name) may keep my health notes. appears. The note is saved only with that box ticked. The consent is recorded with the date and the version of the wording.
When staff add or edit it
- Open Members and select the member, then choose Edit profile. For a new member, choose New member.
- Open More details and write in Health notes.
- Tick The member gave written consent for the studio to keep these notes.
- Choose Save, or Add member for a new member.
The box appears whenever you add or change a health note. Without it, the form shows “Confirm the member gave written consent, or leave the health notes empty.” and nothing is saved. The confirmation is recorded with your name and the date. Keep the signed paper form, if there is one, as your record.
Note: Never put health information in Notes or Tags. Those have no health consent behind them.
Importing health notes
A members file can include a health notes column. A row with a health note is imported only if a health notes consent column says yes for that row, or if you tick Every member in this file gave written consent for the studio to keep their health notes when mapping the columns. A row whose consent column says no is never imported. The consent is recorded with your name, the date and the import.
Who sees health notes
Health notes are for staff only. Teachers see the names of the people booked in their classes, not their health notes. Health notes never appear in reports, the report builder or the member CSV export.
Removing a health note
The member can clear their note at any time and save, which withdraws their consent. No tick is needed to remove a note. When a member deletes their account or you anonymise them, the health note is erased for good.
