Members under 18
People under 18 cannot create their own account. Your staff add them from the member form with a parent or guardian's details and confirm that the guardian's consent is recorded. Parent accounts come later.
The rule
Online sign-up is for people 18 and over. Anyone creating an account on your booking pages ticks I am 18 or older. first, and a member who enters a date of birth under 18 in their own profile cannot save it. They see “Members under 18 are registered by the studio with a parent’s or guardian’s consent.” Privacy laws in Brazil and Canada give children’s data extra protection, and this keeps a responsible adult in the decision.
Add a member under 18
- Get the written consent of a parent or guardian first, for example on your sign-up form.
- Open Members and choose New member.
- Fill in the young person’s name. Leave out anything you do not need to run their classes.
- Open More details and turn on Under 18. If you enter a birthday under 18, it turns on by itself.
- Fill in Parent or guardian and Parent or guardian’s phone or e-mail. Both are required.
- Tick Guardian consent recorded.
- Tick I have this person’s permission to register them and choose Add member.
The guardian’s consent is recorded with your name and the date. The member’s profile shows a Parent or guardian line with the guardian’s name and contact. Keep the signed consent with your studio records.
If you later change the guardian’s name or contact, the form asks you to tick Guardian consent recorded again. You can also turn on Under 18 for an existing member from Edit profile.
Note: Members under 18 cannot be imported from a file. Add them one at a time from the member form.
Health notes for minors
A health note for someone under 18 should have the parent’s or guardian’s written consent. Before saving, staff tick The member gave written consent for the studio to keep these notes, as for any note typed by staff.
Messages
Do not send marketing to members under 18. Booking confirmations, receipts and class changes still go out, because they are part of the service.
Your privacy notice
If your studio accepts members under 18, say so in your privacy notice and give it to the parent or guardian when you register the young person. A parent or guardian can ask for a copy of the data or for its deletion on the young person’s behalf.
Note: Parent accounts, where a parent signs in and manages a child’s bookings, are coming soon. Until then, staff book and sell for the young member from the admin.
