Follow, send again and cancel NFS-e notes

Each fully paid sale gets its NFS-e within about two minutes. Follow every note in Settings, NFS-e, Notes, or on the sale itself, send a refused one again, and cancel an issued note when you need to. A full refund cancels the note for you.

When a note goes out

With When to issue set to Each sale, as soon as it is paid, a sale gets its note within about two minutes of being fully paid. With Only when staff ask, from the sale, it goes out when someone selects Issue NFS-e on the sale. To set this up, see Issue NFS-e.

One sale never gets two live notes. If a note was cancelled, a new one can be issued for the same sale.

What each status means

  • Waiting to go: the note is in line to be sent.
  • Needs information: something is missing, usually the buyer’s CPF or your NFS-e settings. See Buyers without a CPF.
  • At the city: the city is processing the note.
  • Issued: the city accepted it. It shows the note’s number; open it to see or print it.
  • Refused: the city said no. The note shows the city’s reason. Fix what it points to in your settings, then send it again from the sale.
  • Cancelling: the cancellation is at the city.
  • Cancelled: the city cancelled the note.
  • Not issued: the sale was refunded or cancelled before the note went out.

Notes from the test provider carry a Test tag.

The Notes tab

Open Settings, NFS-e, Notes. Under Show, choose:

  • All
  • Issued
  • On the way: waiting to go or at the city.
  • Need attention: refused or missing information.
  • Cancelled

Each row shows the sale, the buyer, the amount, the status, the number and when it was issued. Select Open note on an issued note to see or print it.

On the sale

Open the sale in Sales. Its NFS-e section shows the sale’s notes. Desk staff who record sales can:

  • select Issue NFS-e when the sale has no note yet;
  • select Send again on a refused note or one that is waiting;
  • type the Buyer’s CPF or CNPJ when the note needs it. It is saved on the member’s profile for the next notes.

What members see

The provider e-mails the note to the buyer, unless you turned that off. Members can also open their note at any time from their orders in their account, with the Tax invoice (NFS-e) link (Nota fiscal in Portuguese).

Refunds

  • Full refund: with A full refund cancels the note on (the default), elastudio cancels the note for you.
  • Partial refund: a note cannot be cancelled in part, so the note stays issued and is marked for you. Decide with your accountant what to do.

Cancel a note by hand

The owner and admins can cancel an issued note:

  1. Find the note in the Notes tab, or on the sale, and select Cancel note.
  2. Write the Reason, at least 15 characters. It goes on the cancellation.
  3. Confirm.

The cancellation goes to the city. Each city has its own deadline, and a city may refuse a cancellation. If it does, the note stays issued and shows the reason.
