Find a member and read their profile
Open Members to search by name, e-mail or phone, filter the list and open a profile with passes, bookings, orders, notes and consent in one place.
Find a member
- Open Members. On a phone it is in the tab bar at the bottom.
- Type in Search name, e-mail or phone.
- To narrow the list, use Show: Everyone, With an active pass or membership, Pass ending soon, No booking in 30 days (also 60 and 90), Never booked, Unpaid order, Membership past due or Paused.
- Open Sort and filters to sort by Name, Newest first or Last visit, and to filter by Tag, Language, Status (Active or Inactive) or Lives locally.
- Select a name to open the profile.
The list shows each person’s contact, last visit, city, active passes, tags and a status such as Inactive, Unpaid, Past due, Paused, Ending soon or First visit coming.
What the profile shows
- Photo: the member’s profile photo, if they added one in their account, so the team recognises them. Only the member adds, changes or removes it; staff cannot upload one.
- Registered, Status and Last visit at the top. Registered is the day the profile was created in your studio and cannot be changed. Last visit is the latest class they booked or event they have a ticket for that has already started, with its name and whether it was a class or an event. Cancelled bookings, cancelled or refunded tickets and anything still to come do not count.
- Contact: e-mail, phone, language and whether they live locally, plus Address and Gender when given.
- Messages allowed: whether the member agreed to receive news by e-mail.
- Waiver: the date they accepted your terms, or Not accepted yet.
- Numbers: booked, attended, no-shows, late cancels, last visit and Spent in total.
- Passes and memberships: classes left, use this period, expiry date and status.
- Upcoming classes, Orders and History, which you can filter by upcoming, past, attended, no-shows, late cancels or cancelled.
- Tags: short labels for your own lists, such as morning or beginner.
- Notes: private to staff. Teachers never see them.
From the profile you can also choose Edit profile, Sell, Anonymise or Ask to update e-mail. Each pass or membership has an actions menu with Adjust credits or dates (owner and admins) and Pause (front desk too). Both ask for a reason.
Note: Staff never change or choose a member’s e-mail. Ask to update e-mail sends the member one message, at their current address, asking them to change it in their account. Only the member can change it.
Active or inactive
A member is Active when they have at least one of these:
- a pass or membership that is valid (one awaiting its renewal payment counts);
- a booked class from the last 90 days or coming up;
- a ticket for an event from the last 90 days or coming up, as long as the ticket was not cancelled or refunded. Someone who just bought a ticket for next month’s workshop is active straight away.
Anyone else is Inactive. The list’s Status filter, the Last visit column and the CSV export follow the same rules. The status updates on its own; you cannot set it by hand.
Personal details
Under Edit profile, More details has optional personal details: Gender, Address, City, State or province and Postal code. None of them is needed to book. Members can also fill in or delete their own on their account page.
- Postal code: any format is accepted, up to 20 characters. Well-known Brazilian, Canadian and US codes are tidied, for example 01310100 becomes 01310-100.
- Gender: leave it as Not given unless the person told you. Let me describe keeps the person’s own words, and saving them needs a tick confirming the person gave written consent. When members describe it themselves, they tick their own consent box. Removing the words records that the consent was withdrawn.
Who sees what
The owner, admins and front desk staff see contact details, personal details and notes. Teachers never see a member’s address or gender: they see only the names, and photos when members added one, of the people booked in their own classes. A member’s photo is never shown to other members or on public pages.
Export the list
Choose Export CSV on the Members page to download everyone with contact details, language, city, status, tags, member since, last visit, e-mail news consent and active passes. The owner and admins can export, and front desk staff can too if the owner gave them the Reports permission. Every export is recorded.
