A member asks for their data or to be deleted
Members download their own data and delete their account from their account page. Staff can anonymise a member from the profile. Deletion erases name, contact and health details for good, while sales stay as anonymous records for your accounts.
A copy of their data
Members can download their data themselves, without asking you:
- They sign in and open their account, then Profile.
- At the very end, under Your data, they choose Download my data.
- They get Everything (JSON), Bookings (CSV) and Orders (CSV). If the file takes a moment, they get an e-mail when it is ready.
If a member writes to you asking for a copy, point them to Your data at the end of Profile in their account.
The member deletes their account
At the end of Profile, under Your data, the member chooses Delete my account and confirms. They are signed out and their profile is erased. This cannot be undone.
Staff anonymise a member
Use this when the person asks you to be forgotten, or the law requires it.
- Open Members and select the member.
- Choose Anonymise.
- Read the summary and choose Anonymise for good.
What deletion does
- Name, e-mail, phone, profile photo, notes and health details are erased for good and cannot come back.
- Future bookings are cancelled.
- Orders, receipts and attendance stay as anonymous records, because tax law requires you to keep sales records. Your revenue reports keep the same totals.
- Searching for the person’s name or e-mail finds nothing afterwards.
- Their customer record at Stripe is deleted. Invoices already issued stay with Stripe as tax records.
- If the person belongs to no other studio on elastudio, their login is deleted too.
Note: Anonymising is permanent. If the member only wants to stop receiving news, they can switch off marketing messages in their account instead.
Other requests
Members can also ask you to correct their details, which you can do with Edit profile, or to withdraw consent, which they do in their account. Your studio is responsible for your members’ data, so answer within the time your privacy notice gives. For help, write to support@elastudio.app.
