How to run your studio on elastudio, from your first class to your monthly reports.

What happens when you reach a plan limit

At a limit you cannot add more of that item: staff logins, locations, rooms, passes or memberships. At the monthly active member limit nobody new can join until the 1st, but everyone already registered keeps booking. Nothing you have is deleted or switched off.

The limits

Each plan sets six limits. You see yours in Settings, Plan and usage, tab Usage.

  • Active members this month: Free 20, Starter 200, Growth and Pro unlimited.
  • Staff logins: Free 1 (the owner), Starter 5, Growth 15, Pro unlimited.
  • Rooms: Free 1, Starter 3, Growth and Pro unlimited.
  • Locations: 1 on Free, Starter and Growth, 3 on Pro.
  • Passes: 3 on Free, unlimited from Starter.
  • Memberships: 1 on Free, unlimited from Starter.

Passes and memberships count only the ones not archived.

What a limit blocks

When you reach a limit, you cannot add more of that item. Everything you already have keeps working, and nothing is deleted, hidden or switched off.

  • Staff logins: you cannot invite more staff. Invites not yet accepted hold a seat until they are used or expire, so “5 of 5” can be four people and one invite.
  • Locations and Rooms: you cannot add another one in Locations and rooms.
  • Passes and Memberships: you cannot create another one in Passes and memberships. Archive one you no longer use to make room.

On those pages the add button is greyed out, with a note such as “5 of 5 staff logins on the Starter plan” and a link to See Plan and usage.

Active members: nobody new joins

When this month’s active members reach your plan’s limit, until the 1st (in your studio’s time zone) or until you change plan:

  • your team cannot add new members, by the new member form or by importing a spreadsheet;
  • people who are not members of your studio yet cannot sign up, sign in with Google for the first time, or book and buy online.

Everyone who already has a profile at your studio keeps booking, buying and renewing, even people who were not active this month. A booking by a returning member can take the month past the limit; that is fine and nothing breaks.

People who try to join see “This studio is not taking new members online right now. Please get in touch with the studio.” with your studio’s e-mail, phone or WhatsApp. They never see anything about plans or limits.

What counts as an active member is explained in its own article.

Who sees what

The owner and admins see the numbers, the plan and the link to Plan and usage. Front desk staff and teachers only see that adding is blocked right now, and are asked to talk to the studio owner or an admin. Only the owner can change the plan: the owner gets the link to Plan and usage, and admins are told that only the owner can change it. The same goes for features that come with a bigger plan, like your own fonts.

Spreadsheet imports

An import takes rows in file order while your plan has room. Rows past the limit show as errors in Check every row, naming the limit they would go over. To import the others, tick Skip the rows with errors, or change plan first. Rows that update people or items you already have never count.

The monthly e-mail

When your studio reaches or goes over a limit, the owner gets an e-mail with the numbers, what the limit blocks now and a link to Plan and usage. It is sent at most once per limit per calendar month, checked every night. It is a studio notification called A plan limit is reached, on by default, and you can switch it off or add more addresses in your studio notifications.

After moving to a smaller plan

Before the owner confirms a move down or a cancel, the dialog lists every limit of the new plan the studio is at or over, with today’s count and what it blocks, for example “Staff logins: 5 now, Starter allows 5.” The article on changing or cancelling your plan shows the whole list.

If you move down, or your plan ends and your studio moves to Free, and you are over a limit of the new plan, what you already have stays visible and usable. You cannot add more of that item until you are back under the limit or move up again. The usage line then says you are over your plan’s limit.

Features that come with a plan

Some features start on a given plan rather than a number. Below that plan they stay visible in the admin but switched off, with Available from Starter (or Growth) and a link to Plan and usage for the owner and admins. Front desk and teachers see Ask the studio owner. Menu items that are a paid feature on their own (Promo codes, Reports and Rooms) show a small lock and open a short page that explains them.

The rule is the same as for limits: only new use stops. What your studio already has keeps working, and members are never told about plans. They simply do not see what is not on your plan.

  • Waitlist (Starter): it cannot be switched on. Members are not offered a waitlist on full classes, but people already waiting keep their place and still get the spot.
  • Room calendar and room blocks (Starter): Free keeps its 1 room. Blocks made before keep blocking.
  • Private sessions (Starter): no new session types and no new sessions, and members do not see the private sessions page. Sessions already booked stay, and you can still approve, move or cancel them.
  • Monthly memberships billed by card (Starter): no new ones, and members do not see them in your prices. Memberships already sold keep renewing. Memberships paid once are on every plan.
  • Promo codes (Starter): no new codes, and no code works at checkout, including codes made before. Your codes stay saved for when you move up.
  • Your own message texts (Starter): texts you wrote before keep sending. You can still switch messages on or off and go back to elastudio’s text.
  • Substitute teachers (Starter): substitutions made before stay.
  • Google Calendar (Starter): new connections stop. One made before keeps working until it is disconnected.
  • Ready-made reports (Starter): the Today page stays on every plan, and tiles pinned before keep showing.
  • Pinning reports to Today (Starter): tiles pinned before a downgrade keep showing, and you can still move or unpin them.
  • Building your own reports (Growth): saved reports made before still open on Starter, but you cannot create new ones or change what they show.
  • Your own fonts on your pages and website (Growth).

During the Starter free trial you have every Starter feature. The plan comparison article lists every feature by plan.
