Google Analytics and Microsoft Clarity help us see which pages are used, where people get stuck and which campaigns bring visitors, including recordings of clicks and scrolls with all text on the page hidden. We also remember in this browser, for 90 days, which campaign link brought you. If you switch this on, the data is sent to Google and Microsoft in the United States, and you agree to that transfer.

How to run your studio on elastudio, from your first class to your monthly reports.

Choose which e-mails the studio gets

Studio notifications are the e-mails elastudio sends your team when something needs attention: a new member, a cancellation, a failed payment, a dispute. Pick which ones you get, where they go and who else gets a copy.

Where to find them

  1. Open Settings (the cog at the bottom of the menu) and choose Messages.
  2. Open the Notifications tab. The section is Studio notifications.
  3. Turn each alert on or off, set where they go, and select Save. One Save keeps the whole section.

Only the owner and admins change these settings.

Where the e-mails go

Notification e-mail is the inbox that gets the studio’s alerts. Leave it empty and elastudio uses the Studio e-mail from Settings > About the studio. If you later change the studio e-mail, an empty notification e-mail follows it. If the studio has no studio e-mail and this field is empty, the alerts reach nobody, and the page says so.

Each alert that is on also has Also send to: add up to 5 more addresses for that alert only, for example your front desk for cancellations and your bookkeeper for failed payments. Each address gets one e-mail per alert, even if it is on the list twice.

Two alerts are different: Import finished and Report export ready go only to the person who ran the import or asked for the export. They never go to the notification e-mail and have no Also send to. You can still turn them off.

The alerts are written in the studio’s main language. Their text is fixed: you choose whether you get them and who gets them, but you cannot edit them like the e-mails members get, in the other tabs of Messages.

What each alert is

All alerts start on, except New booking.

  • New member signed up: the name and e-mail of each new member account, whether the person signed up, a teammate added them or they came in with an import. Staff logins do not count.
  • New booking: one e-mail for every confirmed booking. It starts off because a busy day means many e-mails. When staff book someone and choose not to notify, no e-mail is sent.
  • A member cancelled a booking: when a member cancels a class themselves, and whether they got the class back or it was a late cancellation. Staff removing someone does not send it.
  • Waiting list could not give a spot: a spot opened, but the next person in line could not be booked (no classes left, no valid pass or a limit reached), so the next person was tried.
  • A membership payment failed: a monthly renewal could not be charged, with the date the member has to pay by.
  • A card payment is disputed: a member asked their bank to take back a card payment. Answer it in the Stripe Dashboard before the deadline.
  • A pass or plan expired: sent the day a pass or membership runs out, only for those set to tell the studio. In Passes and memberships, open the pass or membership and, under Reminders and alerts, turn on Tell the studio when it expires. It is off by default, and turning it on also covers passes already sold.
  • A membership renews soon: sent before each renewal of a monthly membership, only for memberships with Tell the studio before each renewal on (off by default, under Reminders and alerts). It goes out the number of days set in Renewal notice (days before) (7 by default; 0 turns notices off), once per renewal. Paused memberships and memberships set to end get no notice.
  • Class dates skipped because the room was taken: some dates of a weekly class were not created because the room was already in use. The e-mail lists the dates so you can move them.
  • Stripe needs attention: Stripe needs something from you, and card and Pix payments may stop until you sort it out. It is also sent if a deleted member’s details are still in Stripe a day later.
  • A plan limit is reached: your studio reached or went over a limit of its elastudio plan, with the numbers, what the limit blocks now and a link to Plan and usage. It goes to the studio owner (plus any extra addresses), at most once per limit per month.
  • Import finished: a summary of what came in from a spreadsheet.
  • Report export ready: a download link for a large export (over 5,000 rows). Smaller exports download straight away, with no e-mail.

Private session requests have their own copy list, under E-mails to the studio in Settings, Private session settings.
