Teacher pay and the payout report
Set pay rates per teacher, class type or private session, and elastudio works out what each teacher earned in a period from the classes and sessions they taught. The owner approves the period, then pays the teachers outside elastudio. On the Growth plan.
What it does
Teacher pay works out what each teacher earned in a period, from the classes and private sessions they taught and the rates you set. elastudio calculates; you still pay your teachers yourself, by bank transfer or however you do today.
- It is on the Growth plan and up.
- The owner and admins set the rates and read the report. Only the owner approves or reopens a period.
- Find it in Settings, Teacher pay, under People. The page has two tabs, each with its own address:
- Report (the default): the report for a period, Export CSV, approving and reopening a period, and the approved periods.
- Settings: the pay rates, who counts as an attendee, whether teachers see their own pay, and the other settings.
Note: If your studio used elastudio before 27 October 2026, Teacher pay starts switched off. The owner or an admin turns it on in Settings, Tools, Features: switch on Teacher pay.
Step 1: set the pay rates
On the Settings tab, under Pay rates, select New rate and choose:
- Teacher: one teacher, or Every teacher (your studio’s default).
- Pays for: Group classes (All classes or one Class type) or Private sessions (All private sessions or one Private session).
- How it pays, for group classes:
- A fixed amount per class;
- An amount per attendee, with an optional Minimum per class and Maximum per class;
- A percentage of the class’s revenue, with the same optional minimum and maximum.
- Any class rate can add a Bonus for a full class, paid when the bookings fill every spot.
- How it pays, for private sessions: A fixed amount per session, or A percentage of what the session paid (optional Minimum per session and Maximum per session).
Select Save. A good start is one rate for Every teacher, then a teacher’s own rate where they are paid differently.
Which rate pays a class
The most specific rate wins, in this order:
- the teacher’s own rate for that class type (or that private session);
- the teacher’s own rate for all classes (or all private sessions);
- every teacher’s rate for that class type (or that private session);
- every teacher’s rate for all.
A class no rate covers pays nothing and is marked No rate; the report counts them so you can add a rate.
Who counts as an attendee
On the Settings tab, choose Who counts as an attendee:
- People checked in (the default): only the people who came.
- People booked: everyone with a confirmed spot, whether they came or not.
A booking for two people counts two. A cancelled booking never counts.
How revenue is worked out
For A percentage of the class’s revenue, elastudio adds up what each booking in the class is worth:
- A pass: the pass price divided by its number of classes. A 10-class pass of 300 makes each class worth 30.
- A monthly membership: the month’s price shared across all the bookings the member made with it that month. A membership of 200 used for 8 classes makes each one worth 25.
- A single class bought on its own: what was paid, less any refund.
- Free bookings, late cancellations and no-shows: 0.
For a private session, revenue is what its order paid, less refunds. Then the percentage is taken, and the minimum and maximum apply.
Substitutes
The person who actually taught is paid. When a class had a substitute, it goes on the substitute’s lines, at the substitute’s rate, marked Substitute. See Put a substitute teacher on a class.
Step 2: read the payout report
The Report tab opens on This month. Use Previous month, Next month, or From and To for any period. Only classes and sessions that already happened count.
For each teacher you see every line (date, class or session, attendees, rate, pay, bonus, total) and their total, then the Total for every teacher. Export CSV downloads it for a spreadsheet.
Step 3: approve the period
Once the last day of the period is over, the owner selects Approve period and confirms the total. Approving locks the lines as they are: later changes to rates, classes or check-ins do not change an approved period. Then pay your teachers outside elastudio.
- Approved periods never overlap.
- Approved periods lists them; View opens the approved copy.
- Something wrong? The owner selects Reopen and writes why. Those days are calculated again with today’s rates and can be approved again. The approved copy is kept for the record.
What teachers see
Off by default. Turn on Teachers see their own pay in My profile on the Settings tab. Each teacher then sees Your pay in My profile, month by month: their own classes and sessions, the rate and the amount, and whether the studio approved it. Never another teacher’s lines. Revenue shows only on lines paid by a percentage of it.
If you move below Growth
Rates, the live report and approvals lock. Periods you already approved stay readable, with their CSV. Teachers no longer see their pay.
